Most providers evaluate NDIS software by sitting through demos, reading feature lists and asking colleagues what they use. That takes weeks and tells you what the vendor wants you to see.
There’s a faster way. Score every platform against the same 10 questions. Rate each one from 0 (doesn’t do it) to 2 (does it well). Add up the score. The number tells you where the platform sits. About 30 minutes per platform.
At a glance: Score any NDIS software platform against 10 operational questions covering claims automation, pricing updates, credential tracking, budget visibility, multi-program support, audit evidence, reporting, configurability, mobile access and onboarding time. A score of 16 or above means the platform is strong. Below 10 means it’s creating more work than it saves.
The 10 Questions
- Does it generate claims from service delivery records?
- Does it update pricing automatically?
- Does it track credentials with automated alerts?
- Does it show participant budgets in real time?
- Can it handle more than one funding program?
- Can you produce audit evidence in under 24 hours?
- Can your team pull reports without Excel?
- Can you add custom fields without contacting the vendor?
- Do field workers have mobile access?
- How long does implementation take?
1. Does It Generate Claims From Service Delivery Records? (0-2)
Under the new digital claims system, every claim is cross-checked against your service records. If your software generates claims directly from completed session data, the numbers match by default. If your team re-enters session data into a separate billing system, mismatches are inevitable.
Score 0: Claims are generated manually or in a separate system.
Score 1: Claims are partially linked to service records but require manual review of codes or rates.
Score 2: Claims generate automatically from completed sessions with correct codes, rates and participant details.
2. Does It Update Pricing Automatically? (0-2)
The NDIS Pricing Schedule changes every July. If your team manually updates rate cards across every support item and service agreement, that’s hours of work and a high error risk.
Score 0: Rates are manually entered and updated by your team.
Score 1: Rate updates are available but require manual import or configuration.
Score 2: Rates update automatically when the Pricing Schedule changes.
3. Does It Track Credentials With Automated Alerts? (0-2)
The first wave of NDIS Worker Screening Checks started expiring in February 2026. Your system needs to track every worker’s screening status, qualifications and certifications with alerts before expiry.
Score 0: Credential tracking lives in spreadsheets or someone’s memory.
Score 1: Credentials are stored in the system but alerts are manual or unreliable.
Score 2: Automated alerts at 90, 60 and 30 days before expiry, with credential status visible from a dashboard.
If a platform scores 0 on any of these first three questions, it’s not meeting the baseline for FY27 compliance. Book a 15-minute walkthrough with FlowLogic to see how a platform that scores 2 on all three handles claims, pricing and credentials.
4. Does It Show Participant Budgets in Real Time? (0-2)
Your frontline staff and coordinators need to see what’s been spent, what’s remaining and whether a participant is tracking toward a funding shortfall, without logging into the NDIA portal or asking the finance team.
Score 0: Budget data requires manual calculation or a separate system.
Score 1: Budget data is available but not updated in real time.
Score 2: Live Spent, Remaining and Plan-to-Date balances visible from the participant record.
5. Can It Handle More Than One Funding Program? (0-2)
If your organisation delivers NDIS and aged care (or plans to), running separate platforms for each program creates duplicate data entry and split reporting.
Score 0: Only handles one program. Additional programs require additional tools.
Score 1: Supports multiple programs but with separate modules or logins.
Score 2: One platform, one login, shared tools across NDIS, Support at Home and other programs.
6. Can You Produce Audit Evidence in Under 24 Hours? (0-2)
The NDIS Commission assesses providers against outcomes and evidence. When an auditor asks for incident logs, complaints records, screening data and risk registers, how fast can you pull it together?
Score 0: Evidence is scattered across multiple systems, email and shared drives.
Score 1: Most evidence is in the system but some requires manual assembly.
Score 2: All compliance evidence sits in one place with timestamps, follow-up actions and audit trails.
7. Can Your Team Pull Reports Without Excel? (0-2)
If generating a report on incidents by site, staff utilisation by month or service hours by participant requires exporting to Excel and reformatting, the platform isn’t delivering operational visibility.
Score 0: All reporting requires Excel exports.
Score 1: Some built-in reports exist but custom reporting requires exports.
Score 2: Built-in reporting with filters by site, date range, service type and staff member.
8. Can You Add Custom Fields Without Contacting the Vendor? (0-2)
Your organisation’s processes aren’t identical to every other provider’s. If tracking a new qualification, funding category or participant preference requires a support ticket, the platform is too rigid.
Score 0: No custom fields. You work around fixed structures.
Score 1: Some customisation available but requires vendor involvement.
Score 2: Your team creates and manages custom fields, formulas and workflows independently.
9. Do Field Workers Have Mobile Access? (0-2)
Support workers deliver services in the community. They need to view shifts, clock on and off, log session notes and flag issues from their phone.
Score 0: No mobile access. Records are entered at a desktop later.
Score 1: Basic mobile access (view shifts only).
Score 2: Full mobile app with shift management, session notes, clock on/off and issue reporting.
10. How Long Does Implementation Take? (0-2)
A platform that takes 6 months to implement delays every benefit by 6 months.
Score 0: Implementation takes 6 months or more.
Score 1: Implementation takes 3 to 5 months.
Score 2: Implementation takes 4 to 8 weeks with data migration, configuration and training included.
How to Read Your Score
Add up the scores across all 10 questions. Maximum is 20.
16 to 20: The platform is strong. It handles the operational demands of FY27 and beyond. Focus on refining workflows, not compensating for system gaps.
10 to 15: The platform has gaps. Some operational needs are being met through workarounds. Worth evaluating whether those gaps will widen as compliance requirements tighten.
Below 10: The platform is creating more work than it saves. Every month on it adds admin burden, compliance risk and opportunity cost. The start of a new financial year is the cleanest time to switch.

Frequently Asked Questions
How long does it take to score a platform using this framework?
About 30 minutes per platform. You can score your current system from your own experience. For a new vendor, use the questions during or after a demo.
What score should I aim for in NDIS software?
16 or above out of 20 means the platform is handling FY27 demands well. Below 10 means it’s creating more work than it saves.
Which question is the most important?
Question 1 (claims from service records) is the highest-impact question for FY27. The digital claims system cross-checks every claim against your records. If they don’t match, the claim is rejected.
Can I use this framework for aged care software too?
Yes. The questions apply to any care management platform. For Support at Home specifically, also check quarterly budget tracking across six funding buckets and automated invoice splitting.
Should I score platforms during a demo?
Yes. Bring the 10 questions to every demo and score the platform in real time. It keeps the evaluation objective and makes it easy to compare vendors afterwards.
What if my current system scores below 10?
It’s likely creating more admin and compliance risk than it’s saving. The start of a new financial year is the cleanest time to switch. Implementation on a strong platform typically takes 4 to 8 weeks.
